How to write a proposal in 30 minutes

A lean seven-section proposal template, why speed beats polish, and a same-day send routine backed by data from hundreds of thousands of real proposals.

What you'll have at the end

A finished, sendable proposal built from your own call notes: a short situation summary in the client's words, what you'll do, what they get, pricing with two or three options, and one clear next step. Sent the same day as the conversation, not next week once it's "perfect". You will not have a guaranteed yes. You'll have the structure and speed that shows up across large studies of real proposal outcomes, sized for a thirty-minute window rather than a day.

Before you start

  • Notes from the call or scoping conversation, however rough, taken or written up within the last few hours.
  • Your offer and a price or price range already decided (if you haven't nailed this down, Sundayclear's pricing guide covers moving from a day rate to a package price).
  • A template or past proposal you can reuse as a starting skeleton, rather than a blank page.
  • 30 minutes right now, ideally the same day as the call. Step 1 explains why that matters more than most people think.

Step 1: Start writing within hours, not days, of the conversation

Speed to send is one of the more consistently reported levers on whether a proposal closes at all. One large study found proposals sent within 24 hours of the client meeting converted 42% better than slower ones; a separate, unrelated dataset from a different industry found proposals delivered within 14 days of the initial meeting closed at 88%, against 69.6% for proposals that took over 60 days to arrive. The exact size of the effect differs by source and industry, but the direction is the same everywhere it's been measured: fast beats polished. Only a minority of businesses in one study actually hit their own 14-day target, so this is also one of the easiest ways to stand out against slower competitors without doing anything clever.

Block 30 minutes on your calendar for right after the call, before the details fade and before you talk yourself into "I'll do it properly tomorrow".
