A 4-day project would be quoted at about €0.

Why billable share matters

Not every working day is billable. Admin, proposals, marketing and the odd sick day all eat into the year — billable share is the honest fraction of days that actually get invoiced. Guessing it too high is the single most common reason a day rate feels wrong once you start using it.

What to do with the number

Treat this as a starting point for your own quotes, not a rule. Round it to a number that's easy to say out loud, sanity-check it against what similar work goes for in your market, and adjust for a project's size, urgency, or how much you want it.

How to say the number to a client

State it plainly, once: "My day rate is [X]." No apology, no hedge. If a client pushes back, that's a scope or fit conversation — not a reason to reopen the arithmetic on the spot.

When to re-run it

Re-run it whenever one of the four inputs changes for real: a new income target, a slower or busier year, a shift in how much of your week is actually billable, or new fixed costs. Otherwise leave it alone — a rate that moves every week isn't a rate.
