When to send each stage
A friendly reminder works within the first week or so after a due date — it assumes an honest slip, not a dispute. Move to a firm follow-up once it's been a couple of weeks and there's been no reply. A final notice is for when it's been well past that and prior emails have gone nowhere — use it once, and mean it.
What not to write
No threats, no legal language you don't intend to follow through on, no ALL CAPS, no guilt-tripping about your own bills. Skip vague phrases like "at your earliest convenience" — give an actual date or number of days instead. Keep every stage short enough to read on a phone.
What to do after the final notice
Stop new work on the account, as the email says, and hold that line. If there's still no payment after the deadline you set, that's a decision about debt collection, a formal demand, or writing it off — not more emails. Keep every message on record in case you need it later.
