Two-minute tutorial: what never to paste in

A quick habit for keeping passwords and private details out of your AI chat box, without losing any usefulness

Once you start using an AI chat tool for real work, it's tempting to paste in whatever's already in front of you — an email thread, a client's account details, a login you're trying to troubleshoot. Most of that is genuinely fine to paste. A little of it isn't, and it's worth thirty seconds now to know the difference before pasting everything becomes a habit you later regret. This matters more the busier you get, because the fastest way to explain a situation is usually to paste the whole email thread or account screen in and let the tool sort out what's relevant — which is exactly when a password or a client's card number can end up going along for the ride without you ever noticing.

Do this now

  1. Before pasting anything, check it for passwords, card numbers, or account logins. These never need to go into a chat box — if a task genuinely involves one of them, describe what you're trying to do in plain words instead of pasting the credential itself.
  2. Remove other people's private details too — home addresses, medical information, anyone's financial specifics that aren't yours to share with anyone, let alone a chat tool. If it's not your information, treat it the same way you'd treat it anywhere else.
  3. Swap a real client name for a placeholder like [CLIENT] if you're just testing how the wording sounds before you commit to it. You can always drop the real name back in yourself, by hand, once you're happy with the draft.
  4. Leave the actual task in — the situation, the ask, the tone you want it written in. It's the private numbers and passwords that don't belong here, not the work itself, so don't strip out useful context along with the sensitive stuff.

Try this

Write a payment reminder for [CLIENT], [AMOUNT] owed, [X] days late.

What you'll get back

Notice what that example doesn't need: no real name, no account number, no login, nothing that would matter if someone else ever saw it. Just the shape of the situation — who, how much, how late — and that's already enough for a genuinely useful, specific draft to come back to you. The draft that comes back reads exactly as specific and usable as one built from the real details would have, because the tool never needed the real name or the real account number to understand what you were asking for — only the shape of the situation.

That's really the whole habit, and it doesn't cost you anything in quality. You'll still get a full, usable result every time, because the tool only ever needed the shape of the task, never anyone's private details to fill it in properly. A few seconds of checking before you paste, and the rest of the process stays exactly as fast and useful as it already was. Once this becomes automatic, you stop having to think about it case by case — you paste the situation, never the sensitive parts, the same way every single time, and the habit quietly takes care of the rest on its own.
